Several new features are now live on the Self-Service Gateway run by the Institutional File Storage (IFS) service.

IFS is a service for institutions to store and share everyday documents with colleagues. IFS Data Owners and Data Managers can use the Self-Service Gateway  portal to buy and administer storage space. 

The IFS Team has developed the new functionality in response to user requests. The new features give you greater control over your account.

New features

Graphical presentation of available space 

You should now find it easier to keep track of your available space and monitor the growth of your data. 

You can see graphical presentations of how much space you’re using at: 

  • license level 

  • project level 

  • account level 

Change the snapshot policy by user 

You can change the snapshot retention period if you know older data is not relevant. For example, if you have data that changes very regularly. This allows you to free up the space used by older snapshots. 

You can select from 3 snapshot retention policies: 

  • default: 12 months of snapshots 

  • moderate: 6 months of snapshots 

  • relax: 3 months of snapshots 

Map accounts to departments 

You can now add the department name on the ‘Configure your account’ screen. This ensures account ownership at department level if staff move on to another department.
