UIS' videoconferencing service

UIS offers a full range of videoconferencing services, from studio bookings (during normal hours) at our central Cambridge and West Cambridge locations, to equipment loans and consultancy from our specialist team.

Turn your own venue into a videoconferencing studio. We have a range of equipment available for loan, at no cost.

How to book

All our facilities must be booked in advance. Check availablility online for our city centre studio, and booking information for any of our videoconferencing services.


Use our premises, or use your own – we have a solution for most requirements

UIS maintains two fully equipped studios that are available to book for University business. Both have everything you need for teleconferencing, videoconferencing and web collaboration.

These are available on a self-service basis. If you'd like the reassurance of having techncial backup available during your meetings, our specialist team can be available to ensure everything goes without a hitch on the day – either during normal hours or outside them. This service us chargable at the current UIS chargeout rate, and includes liaising with the other party before the event, to test the connections and predict any possible issues.

UIS also has a range of portable equipment for loan, which will enable you to turn your own premises or lecture theatres into a videoconferencing, group collaboration or live streaming venue.


UIS charges a fee for these services to cover the running costs of the equipment (telephony, software patches and licensing). The charges are as follows:

  • Studio hire, including professional videoconferencing equipment: £40 per hour
  • Studio hire for use of Skype or another desktop collaboration tool: £25 per hour
  • Hire of portable professional videoconferencing equipment: £40 per hour of conference use
  • Hire of Polycom round table camera: £25 per hour of conference use
