What is Booker

You can use Booker to book rooms such as lecture theatres and meeting rooms. You can also book equipment and parking spaces.
 

Department Onboarding: 

Departments looking to join Booker should complete the new 'Room Booking System - Department Access' form via the UIS ticketing system, Heat. Read Adopt Booker in your institution for further guidance. 

Requesting a User Account: 

The Room Booking System, Booker, now fully supports the auto-provisioning of accounts for user with University CRSid accounts.

Users should follow the login instructions provided below, and a new account will be created upon their first login. Additionally, if your primary department is on-boarded within Booker, your account will be automatically associated with that department, otherwise you account will be configured as a non-affiliated account allowing users to book shared rooms to the wider Booker users. 

If you need your first or any additional department(s) associated with your account, please contact the relevant department using the details provided here. They can request the Room Booking System team to associate you with the necessary department(s).

New log in procedure (From 18th June):

Go to https://booker.eventmapsolutions.com

Enter your registered email address in the 'Username' box.

If you enter a University CRSid email address (e.g. abc123@cam.ac.uk), click 'Continue' to be automatically redirected to the University's Single Sign-On login. You will be required to enter your University CRSid email address once more, as well as your password. Proceed with Two-Factor Authentication to log in.

If you use a longer University email address which includes your Department name (e.g. abc456@deptname.cam.ac.uk, firstname.surname@deptname.cam.ac.uk) or an external address such as gmail, click 'Continue' to be prompted with a 'Password' box. Enter your standalone Booker password to log in.

How to use Booker

All bookings are maintained and authorised by designated room managers and all rooms can be amended within a Department.

Roles in Booker

Room requestor

Most users have a role of ‘Room Requestor’ – you can see which resources are available and make a booking.

Room manager

Depending on the resource, the booking may then need to be approved by a Room Manager. Sometimes the booking goes through without needing to be approved.

Department manager

Oversees all the resources in their department, they administer the Room Requesters and Room Managers, as well as the resources available for booking in their department.

Custodian

Custodians are service providers in each department who look after aspects of the booking such as room layout, catering, facilities needed.

 

When Booker might be unavailable

You might not be able to use Booker on the second Thursday of each month between 2pm and 5pm.

This is known as our vulnerable period - when the vendor EventMAP provides various patches and fixes to keep Booker up-to-date and secure.
