IT Help and Support

University Information Services

There are a number of factors to consider when photographing or recording images and audio that you intend for publication, mostly revolving around the legal requirement to have written consent from all the individuals and copyright owners that are featured in the published media item.

When you upload materials to the Streaming Media Service (SMS), you will have to go through a 'Terms and Conditions' page and verify that you have completed the required forms.

Consent forms for filming and photography projects

The University Legal Services office produces a series of pro-forma consent forms and guidance notes (access is by Raven authentication), that can be used in most common filming scenarios.

These forms are only for use by University staff:

  • who are involved in organising events or activities during which photography or filming or recorded interviews may take place; and

  • where the purpose or use of the images of individuals and/or sound recordings of their spoken word or voice, by publication or other dissemination by the University including on University websites, is to promote the teaching and research activities at the University, e.g. upload of podcasts of a lecture series via University Information Services' Streaming Media Service on a Faculty or Departmental website.

Note: These forms are only for use by University Institutions.
Colleges and University clubs/societies may copy these forms and amend the wording, but must seek permissions before publishing materials on the SMS.
