What can Microsoft Bookings do for me?

Microsoft Bookings is a personal scheduling tool integrated with Outlook. It lets you schedule 'Personal bookings' in your own calendar, or 'Shared bookings' in a group calendar.

  • Schedule appointments: Create a web page where others can book appointments with you or your team.
  • Share your availability: Set your working hours and block out focus time, meetings and breaks then share a link or embed your calendar on a web page.
  • Create group calendars: Let people book time slots with members of your team, for example, drop-in sessions.
  • Reduce scheduling headaches: Automatically send appointment reminders and confirmations.

Who can use it?

Staff and students with an A3 or A5 Microsoft 365 license and an Exchange Online email account can use Bookings.

How do I access it?

Bookings and appointment notes can be seen by everyone that has access to the account. This might include people's delegates or an entire team. We advise you not to include personal or sensitive information in the appointment notes.

What do I need to know?

  1. Use the web app to publish your personal booking page and set a logo and business hours. 
  2. Think carefully before adding any personal or sensitive information in the appointment notes – it may be visible to more than just the calendar's owner. 
  3. Shared Bookings pages create new calendars in the form:
    MSBOOK_[calendar name]@book.o365.cam.ac.uk
  4. Shared calendars can only be deleted by our administrators. Complete this service request to request deletion.
