Photos, cards and card requests can all have different statuses within the card system. We have listed the possible statuses below along with an explanation. The definition is displayed in the system when you hover your cursor over the status.
 

Photos

Photos will hold one of the following statuses:

  • Approved 
    This photo has been approved by the Card Office as meeting the card photo requirements
     
  • Pending review/Unapproved
    This photo has been submitted (usually by a Card Representative) but has yet to be approved by the Card Office
     
  • Invalidated 
    This photo has been submitted (usually by a Card Representative) but has yet to be approved by the Card Office 
     

Cards

Cards will hold one of the following statuses:

  • Issued
    This card has been created and is either on its way to or has been received by the cardholder
    This should be considered the cardholder's current active card.
     
  • Revoked
    This card has been permanently deactivated and should no longer be considered valid.
    A card is typically revoked if it has been lost, stolen or damaged.
     
  • Expired
    This card has reached its expiry date and is no longer valid.
    The expiry date on a card may differ from the expiry/end dates used for the cardholder in other systems. Learn more about University Card expiry dates.
     
  • Unactivated
    An unactivated card can be created up to 30 days ahead of the expiry of an issued card without having to revoke the issued card first. This allows the cardholder to maintain access until the new card is received or the issued card expires. 
    To activate a new card the Card Representative can revoke the old one, or the cardholder can wait until the old one expires - the new one then becomes the issued card.
    It may take a day for a change of card status to filter down to all systems so the Card Representative may want to collect the old card back the day after issuing the new one
     

Note for Card Representative issuing cards:
Your institution may update their access systems manually rather than automatically. In such cases, a card may be added while it is still in an Unactivated state. This means that the card will work on readers in your institution but it may not work elsewhere, such as in the library or to access other buildings. To avoid this issue, you must revoke the cardholder's old card at the point the new one is handed to the cardholder. This will make the new one the active card.
 

Card requests 

Card requests will hold one of the following statuses:

  • Ready for printing
    This card request is ready and waiting to be printed. 
    Cards are usually printed on the same or next working day except at the start of the academic year and other exceptional circumstances.
     
  • On hold 
    This card request has been put on hold (typically by the Card Office). See the card request 'Hold reason' for details.
     
  • Cancelled 
    This card request has been cancelled. A card will not be created.
     
  • Waiting - approved photo required
    A photo is required before this card can be created. This status will appear if:
    • a current photo has not been uploaded
    • a photo has been uploaded but is waiting for approval by the Card Office
    • the photo uploaded has been rejected by the Card Office. You will receive an email notification that the photo has been rejected.
       
  • Waiting  - delivery destination required
    A delivery destination cannot be determined for this card request. The Card Representative should check the cardholders Lookup information as this is used to determine the delivery destination.
     
  • Waiting - expiry date required
    An expiry date cannot be determined for this cardholder. The Card Representative should refer to CamSIS, CHRIS and Lookup as their end dates are used to calculate the expiry date. Please note end dates for post-graduates are often delayed in CamSIS.
     
  • Printing - sent to printer
    The card request has been queued to be picked up by a printer as soon as available 
     
  • Printing - currently printing 
    The card is being created
     
  • Printing - ready for verification 
    The card has been created but is waiting for the Card Office to quality check and verify it
     
  • Done
    The card has been created and placed in external mail for dispatch by the University Messaging Service (UMS). 
    Once the card has reached this stage it becomes the responsibility of UMS. Any enquiries about delays or non-receipt should be addressed to UMS.
    If a card has not been received within 5 working days of the created date, please check if the delivery information was correct before requesting a new one.
