This page outlines the current options if you want to migrate data to SharePoint, Teams, and OneDrive. There are tools available if you want to migrate:

 

SharePoint Migration Tool

The SharePoint Migration Tool can be used by SharePoint Online Administrators to copy content from your SharePoint Server sites to the following 365 services:

  • SharePoint Online
  • One Drive
  • Teams

Migration Manager

SharePoint Online has an inbuilt migration tool that can be used by SharePoint Online Administrators to migrate data from other cloud services and file shares hosted on on-premises file servers. Data can be migrated into the following 365 services:

  • SharePoint Online
  • One Drive
  • Teams

Google Workspace (personal drives) to OneDrive

University Information Services (UIS) can migrate personal Google Workspace storage into One Drive.

The Migration Manager has the following limitations:

  • Personal Google Workspace must exist in the UIS Google Cloud tenancy.
  • Users must be eligible for license assignment for One Drive within the University Microsoft 365 tenancy.
  • The file size limit for Google to OneDrive storage is 15 GB per file.
  • Doc, Sheet, and Slide Google file formats will be converted to Office equivalents, other proprietary file formats cannot be migrated. Find out what is not migrated by Migration Manager
  • We cannot migrate 'shared with me' files/folders or any offline sync from a device (shown as 'Computers' in Google Drive), only the full contents or a specific folder within the 'My Drive' folder
  • Restricted files cannot be migrated, restrictions need to be removed before migration for these files to be included. Find out how to disable restricted files in Google Workspace Drive
  • Permissions cannot be migrated, any files/folders that were shared will need permissions to be manually added on the migrated file/folder in OneDrive.
  • Microsoft does not allow leading or trailing spaces in file or folder names. You must also rename your files and folders before migrating your data if they use any of these characters: 
    • " * : < > ? / \ | 

To request a migration please email the Service Desk, we will ask you to confirm you are aware of the limitations and we can then schedule a migration. Data should not be written to the Google Workspace at the time of migration so migrations will typically be scheduled to start in the evening and run overnight. The files will be copied to a folder named 'Google Workspace migration' in your OneDrive. Please wait until UIS has confirmed the migration has completed before moving, renaming or deleting files in this folder as it can lead to duplication of files if these activities are undertaken whilst the migration process is still running.

The migration process doesn't make any changes to the permissions or files in your Google Workspace so once you are happy that all the required data is evident in OneDrive you can change any permissions you have shared with others to "viewer" (or remove it if they no longer need access) and delete the data from your MyDrive area in Google to free up the space.

Google Shared Drive to SharePoint

UIS can currently migrate Shared Google Drives storage into Teams, SharePoint sites or OneDrive.

The Migration Manager has the following limitations:

  • Shared Google Drives must exist in the UIS Google Cloud Tenancy.
  • Users must be eligible for license assignment for OneDrive and Teams within the the University Microsoft 365 tenancy.
  • The file size limit for Google to OneDrive and Teams storage is 15 GB per file.
  • Doc, Sheet, and Slide Google file formats will be converted to Office equivalents, other proprietary file formats cannot be migrated. Find out what is not migrated by Migration Manager
  • We cannot migrate 'shared with me' files/folders or any offline sync from a device (shown as 'Computers' in Google Drive), only the full contents or a specific folder within the 'Shared Drive' folder
  • Restricted files cannot be migrated, restrictions need to be removed before migration for these files to be included. Find out how to disable restricted files in Google Workspace Drive
  • Permissions and membership cannot be migrated, these will need to be replicated on the destination folder in the Teams document library or OneDrive.
  • Microsoft does not allow leading or trailing spaces in file or folder names. You must also rename your files and folders before migrating your data if they use any of these characters:

To request a migration please email the Service Desk, we will ask you to confirm you are aware of the limitations, the current permissions of the Shared Drive and the desired destination. If you are requesting a Shared Drive to be moved to a OneDrive we need confirmed authorisation from the owner.
