We are changing the permission options for our SharePoint sites. We are going to remove the ability for SharePoint site owners to use 2 of the predefined permissions groups. We are doing this because the user base in the University's Microsoft 365 environment includes external guests, who would not normally be considered members of the University.

From 2 July, SharePoint administrators will not be able to choose the ‘Everyone’ or ‘Everyone except external’ groups when setting permissions.

We are not applying these changes retrospectively. Sites that already exist with these permissions will not be affected and will remain visible to the groups who currently have permission to view them.

When setting permission, we encourage SharePoint site owners to use the groups listed on our advice page about understanding users and groups.
