The move to migrate Managed Mail Domains (MMDs) from routing via PPSW to route directly to Exchange Online is underway with a view to completing the move by September 2023.

Why the move to Exchange Online

Over 80% of Managed Mail Domain (MMD) entries on PPSW/Hermes point to Office 365 Exchange Online addresses. As such, mail coming to PPSW adds an unnecessary step in email processing and administrative overhead.

As part of each MMD migration, we will work with institutions to improve the SPF/DMARC settings to help prevent the spoofing of Cambridge email addresses. This forms part of our strategy to tighten up email security at the University.

Institutions that run their own email servers will need to update their domain's MX record to point directly to their email server rather than sending mail via mx.cam.ac.uk and set their SPF/DMARC settings appropriately.

Check your MMDs before requesting migration

Before contacting the UIS Service Desk to plan the migration please:

  • check your current MMDs on PPSW/Hermes for obsolete or unnecessary entries (the 'CHECK' option in the Hermes MMD menu system will help)
  • replace any entries that expand to more than one address with either a mailing list or Exchange Online Distribution List.
