Overview
Staff profiles typically contain a list of a person's publications, which may include articles, books, book chapters and more. Where these list are maintained manually, they may suffer from being out of date or inaccurate. The University's research information management system, known as Elements, contains publication data and this data can be included automatically in a profile. Currently this is being trialled on a small number of websites and is available by request for UIS maintained Drupal 7 sites that use our standard staff profile module.
The system will download any new or changed publications overnight, and this can include all publications or be restricted to downloading only those marked as favourites in Elements.
As well as displaying publications in staff profiles they can also be displayed on a publication search page.
Installing Elements
If you want to have elements installed on your site please contact webmaster@admin.cam.ac.uk. Let us know whether you want to download all publications or just favourites - this setting applies across the site and you can change your mind at any time.
Changing the order of the publications
The profiles will show all of one type of publication followed by another e.g. all books, then book chapters, then articles etc. This order can be changed by editing the order of taxonomy terms in the 'Publication Type' taxonomy (admin/structure/taxonomy/publication_type). This order applies accross the site. Note that the taxonomy terms are created during the download of publications so initially this taxonomy will be empty, if this is the the case try again after some publications have been downloaded.
Adding Elements to a profile
The integration with Elements is designed to replace manual entry and so the staff profile fields 'Key Publications' and 'Other Publications' should normally be left blank.
To enable Elements for a profile (once it has been added to the site) you need do the following when editing your profile:
- Make sure the CRSID field is correctly filled in - Elements uses this to indentify which are your publications.
- Make sure your Last Name field is correct. This is used, along with the initials field, to format your name in bold within the list of authors.
- In the Symplectic Elements tab tick 'Get Publications' to download the publications
- Also tick the 'Show Publications' to show them on your profile. If only 'get publications' is ticked, the publications will be available on the search page, but not in the profile.
- Fill in the initial field.
Editing Publications in Elements
Within Elements itself you can control whether or not your publications appear on your profile. Marking a document as a favourite will highlight it on the website. If the site is configured to only download favourites, you will need to favourite all publications you want on the website.
Marking a publication as private will prevent it being downloaded as one of your publications.
Troubleshooting
My newly added publication has not yet appeared
Publications are added to the site on a nightly basis.
A publication is not appearing in the correct date order
Within Elements If you have a manually entered publication details and a date has not been included then it may appear at the end of the publication list. Check that your article has a published date in the manual record and that the record is verified.
