The request will be processed by UIS user administration staff, who will try to match the data supplied against data in the UIS database, Jackdaw. Previous CRSid, name, date of birth and gender are considered in the matching process and, if there is an uncertainty or a clear error, user admin staff may query or reject a registration request. Errors in any of the details are likely to prevent a match with an existing record.

In the case of a rejection a message will be sent explaining why, and it will usually be necessary to resubmit the request.

In the case of simple errors in requests it is now possible for user administration staff to correct the record. Requests for error correction should be made to .

Records that match an existing Jackdaw record

If the user is a not current student or member of staff, and the start date is not in the future, the user will be moved to the new institution, as described in the pre-arrival registration request, at the next database reconciliation (overnight).

If there is a current CamSIS and/or CHRIS record then the user will not be moved by a pre-arrival registration request. The priority order for moving users in the UIS database is:

  • current in CamSIS
  • current in CHRIS 
  • current pre-arrival records 

If there are two current pre-arrival records, perhaps one for a department and one for a College, the institution in the oldest record will be used.

Records that do not match an existing database record

If no match can be found with an existing Jackdaw record, then a new database record (giving a new CRSid) will be generated and and the user will be placed in the institution specified in the pre-arrival registration request. Accounts requested for the user will be generated and passwords will be stored awaiting collection by the user at the appropriate time.
