Privacy & Cookies Policy for the University Information Services Email Services (Hermes & PPSW)

Privacy

All accesses to the email systems are logged for the purposes of system administration, bug tracking, usage statistics and to trace misuse. In the case of misuse relevant information may be passed to security teams at other sites as part of an investigation. Otherwise the information is not passed to any third party except as required by law. Logs are kept for 28 days.

The following data is logged for all user accesses: user name, address of calling site or machine, time of session, duration of the session, programs used and commands issued.

In the case of mail logs the sender and recipients of each message are logged.

Cookies

Hermes webmail uses an HTTP session cookie to maintain the integrity of your webmail session and support the use of tabbed browsing with webmail. This cookie expires when your browser is shut down. This is constructed using your current Hermes session ID and a random alpha-numeric value. This cookie is essential for the provision of the service.

UIS Christmas closure 24 December 2019 to 2 January 2020

UIS, including the UIS Service Desk and Reception in the Roger Needham Building will be closed for Christmas and New Year from Tuesday 24 December at 17:00. We will re-open on Thursday 2 January 2020 at 08:30. The Service Desk will also be closed, but we have an emergency contact in case you need one.

New system helps the University submit eligible staff to the REF

A new version of the REF Staff Information system was launched on 20 November, helping the REF team to ensure that eligible staff are submitted to the REF with correct and complete data. The project team adopted a unique approach to deliver the system on time under considerable pressure.
