Exchange Online email and calendars

The Exchange Online groupware service (email, calendars, contacts, notes) is available to all University students and almost all staff. It gives access to email and other groupware functions via a web interface and various clients. The web interface makes it accessible from any internet-connected system in the world with a modern browser.

  • supports email clients on all platforms
  • supports email, calendars, contacts and notes
  • provides a modern, responsive web interface
  • can be customised with filtering options
  • allows redirection of messages to another email provider

Exchange Online for students and staff

All University students who arrived at the University for the 2018/19 academic year onwards will have an Exchange Online account. Staff who join an institution that uses Exchange Online, such as the Unified Administrative Service (UAS), will also have an Exchange Online account.

How to access your emails

You can log in to the Outlook Web App with your [CRSid] email address and UIS Password:

If your email app isn't included in this list, you can use the generic settings to configure your email client.

Self-migrate your personal Hermes email account to Exchange Online

All University students and staff, and staff from those non-University institutions that are part of the University's EES Agreement can self-migrate their personal (but not shared) Hermes email accounts to Exchange Online, if they wish to do so.

Exchange Online for Alumni (2020 onwards)

If you are a student of the University graduating in summer 2018 onwards, you are entitled to an email address, with an Exchange Online mailbox. You should get an email from the Development and Alumni Relations office about setting this up around the time you complete your studies. If you have not received an email and think you should have, please contact the alumni email support team (also based in Development and Alumni Relations) at

Change affecting Exchange Online for 2018 and 2019 Alumni ( email addresses) 

On 27 April 202 we made a change to your alumni email account. Your email address has now changed to You should now use this email address to log in to your alumni email account and start to publicise your new email address to your contacts. See also:

Exchange Online for Institutions

Following a pilot programme to migrate UIS to Exchange Online in early 2017, the option to migrate is now available to other Institutions covered under the University's EES Agreement.

How can my Institution migrate to Exchange Online?

If you're interested in migrating your Institution, take a look at the FAQs and get in contact with your Relationship Manager.

Although the software licences are available at no cost, note that the migration is likely to require some expenditure by your institution – primarily in manpower for assisting your users with the necessary changes on their various networked devices.
