The code of practice governing use of UIS videoconferencing facilities.

  1. The Videoconferencing Service is available for use by staff and students of the University, its Colleges and related institutions.
     
  2. The Videoconferencing Service shall not be used for private financial gain or for commercial purposes, including consultancy or any other work outside the scope of official duties or functions, without specific authorisation from Information Services (UIS).
     
  3. UIS staff will not be present during the conference unless specifically requested by the client, in which case a staff charge may apply.
     
  4. If UIS staff are requested to be present during a conference, no mention of the proceedings of such a conference shall be made afterwards by staff unless specifically requested by the client. Failure to observe this may result in disciplinary proceedings.
     
  5. No monitoring of the content of a conference will be made unless specifically requested by the client. If the client requests that a conference be recorded, the fact that the conference is being recorded will be announced to all participants in the conference.
    [N.B. Clients should be aware that a recording of a conference may not be admissible as evidence in some courts and that a written transcript of a meeting, duly signed by all parties, would be advisable.]
     
  6. UIS has an itemised phone bill; clients should be aware that all numbers are logged.
     
  7. The client shall not hold conferences for purposes that are illegal or that could bring the good name of the University into disrepute. UIS reserves the right to decline conferences that it deems could be illegal or bring the University into disrepute.
     
  8. UIS will not reveal whether a conference has taken place unless requested to do so by due authority.
     
  9. UIS will not be liable for any damages incurred as a result of a conference not taking place due to unforeseen circumstances, including, but not restricted to, equipment failure, electricity supply failure or network failure.
     
  10. No member of UIS staff has the right to alter these terms and conditions, except by written authority from the Director of the Information Services.
