Room Booking Service

Booker is a new room-booking system that has been designed for the University of Cambridge.

The benefits of Booker

Booker is a user-friendly, quick and robust cloud-based service that makes it easier for everyone to discover and access rooms, helps departments to manage their rooms more efficiently, and promotes the sharing of available room space across the University.

The system has been developed in close consultation and collaboration with users at the University during the past 2 years. The Student Registry will start using Booker to manage centrally allocated rooms in Summer 2019.

Key features of the system include:

  • ability to view and book rooms within your Department quickly
  • comprehensive information about each room, including photos
  • a simple, visual layout
  • easy searching by date, type of room and location across the University
  • map functionality to help you locate rooms
  • marking rooms as favourites
  • ability to create recurring bookings
  • email notifications throughout the booking process
  • ability to book rooms on behalf of colleagues
  • bulk uploading capability for adding a large number of bookings at once
  • customisable options for room managers.

All bookings are maintained and authorised by designated room managers and all rooms can be amended within a Department.

Booker is available to all institutions across the University of Cambridge, both academic and non-academic. Institutions currently using the system include the Faculty of Law, Kettle's Yard and University Information Services (UIS). You can see a full list and map here. Booker is part of the University's Education Space initiative.

How to request Booker

If you're interested in adopting Booker, or would like to find out more about the system and its benefits, contact the Room Booking team by email:

We'll provide a full on-boarding service to help you through the switchover to the new system, including:

  • a full interactive demonstration of the system and its features
  • a survey of the rooms to be added to the system
  • provision of training and user guides
  • a period of testing and familiarisation before going live on your chosen date
  • transfer of existing bookings from your old system to Booker.
