It will be quicker, easier, and cheaper to for Departments to get bolt-on product licences to add to individual users’ Office 365 licences from 1 October 2021. The new process will apply to individual licences for products such as Visio, Project and PowerBI that are not included under the Microsoft EES Agreement.

UIS will be keeping a central pool of licences that will be funded from the CHEST Subscription Fund. They will be allocated at no additional cost to University Departments and non-School institutions.

Instead of going through the usual procurement process to raise a purchase order for Phoenix, our external supplier, institutions will be able to request licences to be allocated to named users via the UIS Service Desk. This potentially reduces the lead time to a matter of minutes instead of days or weeks.

The pool of licences is intended for staff that have a genuine need for the software. Licences should not be requested merely because they are now freely available. UIS will be reporting on uptake and usage of these licences to ensure the University is receiving value for money. Where licences are not being utilised, they may be withdrawn and reallocated.

This arrangement does not apply to perpetual licences for devices.

The service is not available to Colleges.
