The contents of your Hermes mailbox get copied into your new Exchange Online mailbox in the background. There is no downtime and you won't lose any email because there is always a copy in your Hermes mailbox.

The transfer happens in 2 stages:

Stage 1

Everything in your mailbox is copied to your new mailbox. This can take several hours if there is a lot of data in your mailbox. While this happens, you carry on using your Hermes mailbox to send and receive email.
 

Stage 2

All the email you sent and received while Step 1 was in progress is now copied to your Exchange Online mailbox. When that's done, your @cam.ac.uk email starts being delivered to Exchange Online and you start using your new mailbox.

 

Webmail

You can access your Exchange Online mailbox online using the Outlook Web App. Log in with your CRSid@cam.ac.uk email address and Raven password.

 

All email to CRSid@hermes.cam.ac.uk will bounce

If you have been promoting the @hermes.cam.ac.uk domain as your email address, all email sent to CRSid@hermes.cam.ac.uk will bounce. The sender will receive the following automated response:

This message has not been delivered as this user's email address has changed. Please resend your message to [the forwarding address you have set in Lookup] and update your records.

 

Your Hermes mailbox will become read-only for 14 days

Your old Hermes mailbox will be locked when your transfer completes. For the next 14 days, you will be able to log in to it to view the contents, but you will not be able to make changes or send email from it.

It is important to remember this if you have used your @hermes.cam.ac.uk email address as the primary and/or recovery email address for any online accounts.

 

Your Hermes mailbox will be withdrawn 14 days after your transfer

You will not have access to your Hermes mailbox at this point.

 

Thunderbird users: recommended plug-ins

You could use the TbSync and Exchange ActiveSync plugins with Exchange Online. See: Set up Thunderbird.
 

PGP encryption

Exchange will often rewrite the Content-Type header in PGP-encrypted emails. This may prevent PGP-enabled clients from automatically detecting the encrypted mail. It should be possible to manually tell the client the email is a PGP-encrypted message and then proceed to decrypt it as normal.
