Setting up quicklinks

The pages that access the functionality for adding quicklinks for your institution may be found by following the 'Administer Search' link in the top right of the search interface screen, which you will see if you already have editing rights. If you don't see this link, in order to get these editing rights you must belong to the Lookup "Editors Group" for your institution, or liaise with them to add the appropriate information. To find your local contact, go to Lookup, search for your institution, go to the 'Groups' tab, and select "Editors group for 'your institution'", where you will see a contact name and link to details. You can request to join this group by sending email to this contact, explaining why you need to join. Someone with editing rights will see the following screen (but showing your institution rather than "University of Cambridge"):

Quicklinks are used to add information at the top of the results page when particular search terms or phrases are used. They are particularly useful for focussing on targetted information that otherwise will be absorbed in search results. For instance in the 'whole University' search, when the term "b&b" is used as a search term, a quicklink comes up at the top of the search results, as follows:

Externally visible in this quicklink there is a description or summary and a link to http://www.cambridgerooms.co.uk/, a central resource for finding bed and breakfast accommodation in all colleges. The information to create this quicklink looks like this:

The summary field should only contain a maximum of 50 words. It can include html mark-up, primarily so appropriate links can be included. Please do not include any additional styling.

You can see that in addition to the keyword we used, other additional phrases have been added, any of which evoke this quicklink. You need to think quite carefully about what terms people might use to search when you are adding these words or phrases - quicklinks only work effectively if appropriate ones appear, otherwise users will disregard them. Note: If quicklinks are erroneous or inappropriate, or where there is a University-wide consideration, the University Computing Service reserves the right to remove them and to rescind the editing rights of any user who is judged to be abusing the facility.

Before you think of adding any quicklinks you should:

  • Try a search with some of the terms you are thinking of as keywords to see what results are returned. It could be that the results are good enough that a quicklink isn't needed.
  • Look at the list of all quicklinks (see http://search.cam.ac.uk/quick-links) and keywords (see http://search.cam.ac.uk/keywords) currently in use. In the latter list you will see that some of the keywords are locked, which means they have been judged to be of University-wide significance and cannot be further used. If you try and use one you will be unable to save your quicklink until it is removed, but are given an email address to which you can appeal if you feel this is unjust.
