Can I use Exchange Online for my personal email?

Yes, you will be able to use your Exchange Online account for both work and personal email.

Who else will be able to read my Exchange Online email?

Because it is intended as a University-wide service, the Exchange Online service will follow Hermes’s policies under which your email is regarded as your personal data. Only if you have requested permission for someone to have read access to your emails, will they also have access.

What will happen to my @cam pointer?

It will be changed to point to Exchange Online if it currently points to one of the systems being migrated from (Hermes, the UAS Exchange server, the UCS Exchange server). If it points to a 3rd-party email domain (@gmail.com, @hotmail.com, @yahoo.com, etc.) it won't be changed, but you will be expected to make your own arrangements to ensure you receive calendar invitations and can respond to them in such a way that your calendar appears within Exchange Online.

What happens if I don't use my @cam address?

We’ll create an @cam pointer for you, which will point at Exchange Online and you will be expected to monitor this for meeting invitations and other calendar activity.

Can I choose my preferred outgoing email address?

Yes. All three addresses, xxx@cam.ac.uk, xxx@admin.cam.ac.uk and xxx@hermes.cam.ac.uk are potentially still valid. However, all three are capable of forwarding email to other systems so having all three sending their email to Exchange Online makes for a simple state and is recommended.

If you're migrating from an OnPremise account, your primary email address will remain the same.

If you're migrating from Hermes, your primary email address will automatically be set as your CRSid@cam.ac.uk address. You can ask for this primary address to be changed to something else. Email

Will messages in my Outbox get migrated?

No. We'd suggest you add these to a folder in your Inbox (or Drafts) before you migrate, and move them back into the Outbox once your migration is complete.

Will my email archives get migrated?

No – not unless you move them back into your current mailbox before you start the migration process.

Will the migration bring my rules and filters, both in the client and on the server?

Rules should migrate, however you may find that some client-side rules are not compatible with the online portal. You can check whether your roles have migrated using the following instructions:

A comprehensive set of filters is supported at the server. To access them, visit the web interface (via https://portal.office.com) and access the mail filters via:

Settings (cog wheel icon, top right) → Your app settings: Mail (near bottom of right hand column) → Mail: Automatic processing (left hand column) → Inbox and sweep rules. Click the + icon to add a new rule.

To add addresses to rules, the interface draws your attention to the set of existing contacts. However, there is an invisible text input box immediately to the right of the "It was received from…" prompt where new addresses can be typed directly.

How will role-based and shared mailboxes be migrated?

For Exchange OnPrem to Exchange Online, shared mailboxes will be migrated and access granted in the same way as individual accounts are being migrated.

With Hermes, it will be slightly different because you won’t need to be logged in separately. Your access will be based on your personal user account, not the shared credentials you used to need. As the migrations take place, you should not lose access to these mailboxes or their contents, although you will need to re-add the profile to your email client.

Will I still be able to send emails from group (role-based) accounts?

We are currently working on a technical solution to include this functionality in the migration process. In the meantime, you will need to have the necessary permissions set up manually.

Will I still be able to send emails from my native email client on iOS/Android?

Yes. You can configure the iOS and Android native clients to use ActiveSync against Exchange Online, however this leaves your device vulnerable to mobile device management; the AD administrators gain the power to remotely affect your device, up to wiping it completely, depending on the version of the operating system. We have no intention of taking up mobile device management, but bugs and accidents do happen. Microsoft has an Outlook app for both iOS and Android devices, which we recommend you use if you don’t want to use Exchange Online web access. Mobile device management can only influence this app, not the underlying phone or tablet.

Can we bulk import blacklisted addresses?

Yes. In the web interface go to MailSettingsAccountsBlock or Allow. Paste the addresses, one per line, into the block box. After you click Save at the top of the page, email from these addresses will be sent automatically to the Junk folder.

Will Thunderbird be available on Macs?

You can use Thunderbird on a Mac, however it requires a US$10 per year plug-in that you will need to buy after we migrate to Exchange Online. The Mac native Mail client and Outlook for Mac are the two recommended email clients for Macs. Both support Exchange with no further additions.

Who will pay for the US$10 plug-in for Thunderbird?

If you want to use the Thunderbird email client you will need to pay for the US$10 per year plug; it will not be covered by UIS.

What’s the URL for Outlook Web Access?

You can get access to your email through portal.office.com This will take you to your Microsoft 365 account and you’ll need to sign in. Your email, calendar and contacts will appear as tiles on the main screen.

Will authenticated SMTP be supported?

We’re still investigating this and will update this answer once we have the complete picture.
