Information for mailing list members

To send a message to a list use the address list-name@lists.cam.ac.uk (where list-name is the name of the list). If you are a member of the list then, with most lists, your message will be sent directly to the list members. If a list has the moderation flag turned on then postings from members of the list are held for moderation by the list manager/moderator, so there will be a delay before your message is sent. If you are trying to send a message to a list of which you are not a member then, by default, your message will be held for moderation. Some lists may be configured to automatically reject all non-member postings.

To do other tasks, e.g. subscribing to a list then:

  • if you wish to use your Cambridge email address, and you have a Raven account, follow (where relevant) the notes in this page for Cambridge users
  • if you wish to use an external email address, follow (where relevant) the notes in this page for Non-Cambridge users.

Accessing the @lists system

The top level page for @lists is https://lists.cam.ac.uk/mailman/

  • Cambridge users - the quickest way is to go to the top level page and select the Cambridge Users: Log in using Raven link. After you have logged in, the top of the page has the list search facility (see below) and the names of any lists you are already on. The names are selectable links, so you can move quickly to the information page for the list. Remember to use the Logout link at the bottom of the page when you have finished.
  • Non-Cambridge users - if you are already a member of a list, the best way is to go to the information page (see below) for that list, go to the list-name Subscribers section at the bottom of the page, choose Unsubscribe or edit options and enter your email address and list password when prompted. If you don't know, or have forgotten, your password then select the Remind button. Once you have logged in you will be able to select from a range of options, including viewing a list of all the other mailing lists you are on and setting various options. If you are not already a member of a list you will need to use the list-finding utility on the main page (see below for further details).

How to find lists

Each list in Mailman has its own information page of the form https://lists.cam.ac.uk/mailman/listinfo/list-name. For example, if the Department of Futile Studies had set up the list futile-students the list page would be https://lists.cam.ac.uk/mailman/listinfo/futile-students. If you know the name of the list, then you can go directly to the list's information page.

If you are unsure of the name then it is possible to search for a list. Go to the main @lists page, https://lists.cam.ac.uk/mailman/ and enter part of the name in the search box. Select Search Advertised and then select the correct list name from the search results. Most lists are advertised so will appear in the search results. However some lists are not advertised and the names of these lists will not appear in the search results.

Subscribing to a list

To subscribe to a mailing list visit the list's information page (https://lists.cam.ac.uk/mailman/listinfo/list-name).

  • if you are a Cambridge user, login using the Log in button. The login process uses Raven authentication, so you will need to enter your Raven password. Once you have logged in, you will find that your email address and name are filled in for you. Make any necessary alterations (you may find more than one version of your email address, select the one you prefer), and then select Subscribe to this list.
  • if you are not a Cambridge user fill in your email address and name in the form on the list information page, then select Subscribe.

You will then see a confirmation page which gives a reminder of what will happen to your request. Check what the page has to say about how your subscription request will be processed, as what happens to your request depends on the way the list is configured. With some lists you will be sent a confirmation email to which you must reply, with other lists your request will go to the list moderator/administrator.

Cambridge users - remember to use the Logout link at the bottom of the page when you have finished.

You can also subscribe to a list by sending an email to list-name-request@lists.cam.ac.uk, with subscribe as the subject.

Unsubscribing from a list

To unsubscribe from a mailing list go to the list's information page. Fill in your subscriber email address in the box by the Unsubscribe or edit options button then select the button. On the next page select the Unsubscribe button.

What happens to your request depends on the way the list is configured. With some lists you will be sent a confirmation email, to which you must reply, with other lists your request will go to the list moderator/administrator.

You can also unsubscribe by going to your own subscription options page (see below), or by sending an email to list-name-request@lists.cam.ac.uk, with unsubscribe as the subject.

Setting your subscription options

You can set various subscription options either by going direct to the URL sent you in the list's welcome message or by going to the the information page for a mailing list (https://lists.cam.ac.uk/mailman/listinfo/list-name). From there:

  • if you are a Cambridge user, login using your Raven password. The link will vary slightly depending on what page you are coming from:
    • if it is the the URL sent you in the list's welcome message, select the Click to log in using Raven link.
    • if it is the list's information page select the Log in button.
  • if you are not a Cambridge userthen:
    • if you are using the URL sent you in the list's welcome message, enter your list password and select the Log in button. If you don't know, or have forgotten, your password then select the Remind button.
    • if you are coming from the list's information page, fill in your subscriber email address in the box by the Unsubscribe or edit options button then select the button. On the next page enter your list password and select the Log in button. If you don't know, or have forgotten, your password then select the Remind button.

Once you have logged in you will see your mailing list membership configuration page. You can set or change various options; these are all explained on the page.

Cambridge users - remember to use the Logout link at the bottom of the page when you have finished.

List privacy - viewing the subscribers' list

A mailing list can be either a public list or a private list. If the list is public anyone can view the list of subscribers (the addresses are obscured so they are not easily recognizable by spammers). Only list members can view the subscribers list of a private mailing list, and some mailing lists are set up so that the subscribers list is only available to the list administrator(s).

Message archives

A mailing list may be configured so that messages posted to it are automatically archived. When you join a mailing list you should check to see if there is an archive of previous postings. By reading previous messages you could avoid raising issues that have already been dealt with by the list. To check a list's archives visit the list's information page and select the option to access the archive. Note that by default lists are not archived.
